How you'll make a difference

Working in a small and friendly team, you will provide a fully comprehensive administrative support service to the Legal Services Team, who deal with Legal cases and offer advice and support in Planning, Social Services, Enforcement, as well as other departments within the council. You will also support members of the public, professionals, councillors and South Gloucestershire Council officers.

This is a very varied and busy role requiring initiative and the ability to prioritise workloads when presented with conflicting demands, teamwork is key to our success and we take pride in our friendly and welcoming team.

 
This post is restricted to permanent and temporary employees of South Gloucestershire Council and is being offered as a secondment opportunity for 12 months.

What will you be doing?

  • On a daily basis you will provide an efficient, fully comprehensive and confidential administrative support to the Legal Services team.
  • In the role you will use a specialist legal case management system (Visual Files) to manage work requests received from officers and you will also process the payment of invoices using Dynamics 365.
  • You will be communicating with professionals and the courts to file and serve legal documents via a dedicated portal and use specialist software to prepare, update and distribute court bundles.
  • A key part of the role is managing the court diary, scheduling tasks and forward planning work requirements to meet court deadlines.
  • You will act as the first point of contact for emails and calls, redirecting these to the appropriate member of staff.
  • It will be your responsibility to maintain filing for the division, paper and electronic records and indexing systems, ensuring the maintenance of adequate security, particularly of confidential and personal papers. You will also maintain computerised directories, making sure that work is saved and indexed, and back-up of work is undertaken.

What we need from you

  • We require you to have 3 passes at GCSE including English Language.
  • It is essential that you have good keyboard and typing skills.
  • You must have good IT skills and have a solid knowledge of Microsoft packages.
  • We require you to use your own initiative and to work under pressure, whilst remaining calm and professional, maintaining confidentiality at all times.
  • You must have the ability to multi-task, work to tight deadlines and have a meticulous attention to detail.
  • To be successful in the role we require you to have good interpersonal and teamworking skills.
